You probably have five copies of some file, somewhere, for some reason right now, and no idea which one is the real one. One is on the server, one is in email, two are on a desktop, and one lives only in Karen's head. It works fine, right up until the day Karen prices a job off the wrong data. Nobody decided it would be this way. It just happened, one "I'll make a quick copy" at a time.
It is not a crash or a breach. It is quieter and more expensive: a business slowly losing track of its own single version of the truth. Pricing that is right in one file and wrong in another. A customer who is "paid" here and "overdue" there. Contact details that work until the one time they really matter. None of it feels urgent, right up until it costs you a sale, a client, or an afternoon you will never get back.
Entropy, mostly. Someone exports to a spreadsheet "just this once." A new tool gets added without retiring the old one. Access never gets cleaned up, so anyone can spin off their own copy. And nobody is actually responsible for "which one is real," so the honest answer slowly becomes "depends who you ask." That is not a people problem. It is a setup problem.
You cannot automate, report on, or trust a business that has five answers to every question. Getting down to one, and keeping it there, is some of the least glamorous and highest-return work we do. We help small businesses find their single source of truth and build the guardrails that keep it single.
